Ecclesall Kids Club’s work will bring us into contact with confidential information. To ensure that all those participating in an Ecclesall Kids Club Session and working as an employee for Ecclesall Kids Club can do so with confidence, we will respect confidentiality in the following ways:

Parents/carers/guardians may have ready access to files and records of their own children – but not any other child.

Staff will not discuss individual children with people outside of Ecclesall Kids Club employees other than the parents/carers/guardians of that child.

Information given by parents/carers to any Ecclesall Kids Club staff will not be passed on to third parties. Unless a member of staff shows evidence relating to a child’s personal safety or welfare.

Ecclesall Kids Club will comply with all requirements of the Data Protection Act (and the General Data Protection Regulations/GDPR from 25/5/2018) and the Disclosure and Barring Service regulations.

Where the School or the club feel that working collaboratively to support a childs needs will be beneficial we will seek permission from the parent or carer to work with the School, in some circumstances the School will seek permission from the parent to work with Ecclesall Kids Club via our Permissions Form.

Coordinators and Deputies will be expected to respect confidentiality required by the Club Manager and or the Committee at Management Team (MT) meetings.
Coordinators and Deputies will also be expected to respect confidential discussions about staff performance, attitude or behaviour between themselves as an MT and also between themselves and the member of staff concerned. The Club Manager and the Committee if applicable will treat any discussions about staff in confidence.

If it is brought to our attention that any confidential information has been breached by Ecclesall Kids Club staff Coordinators, Deputies or, Manager they will be subject to Ecclesall Kids Club Disciplinary Procedure.
